Please read these terms and conditions carefully.

Terms and Conditions

Downunder Journeys, LLC (“Downunder Journeys”) facilitates the purchase by customers (“Customers”) of travel related services, accommodations, Transportation, Entertainment, recreation and travel packages (collectively, “Travel Related Services”), which Travel Related Services are provided by providers (“Service Providers”) unrelated to and having no connection to Downunder Journeys.  In utilizing the services of Downunder Journeys to book, reserve and pay for Travel Related Services, you, the customer (“Customer”), agree to be bound by these terms and conditions (“Terms & Conditions”) which describe the terms and conditions by which Downunder Journeys will agree to provide its services to Customer.

 

Quotation Period: All Quotations given to our clients include a detailed day by day itinerary accompanied with this Proposal. The timings detailed will be subject to change and should only be taken as an indication in the quotation period. The effort involved in this can be time consuming, but it does ensure we deliver a highly customized itinerary. For this reason, we do not itemize or break down pricing of our itineraries.  We are happy to modify this itinerary to suit your needs better, remember we are putting this quotation together based on our initial consultation and an idea we come up with to match your needs. Budgets, standards etc can all be changed.


Acceptance: A deposit for a booking constitutes Customer’s acceptance of these Terms & Conditions.


Deposit: Bookings require a minimum $300.00 per person deposit to hold reservations. Some tours will require a larger deposit. Customer will be notified if a larger deposit is required. Deposits are NON-REFUNDABLE.

 

Payment: Full payment is due 60 days prior to departure. Some tours or accommodations require earlier payment. Customer will be notified if earlier payment is required. If the full payment is not paid by the stipulated date, Downunder Journeys reserves the right to cancel the booking(s) without further notice and without refund of deposit. 

 

Airfare Payment: Airfares are payable in full at time of booking unless otherwise advised.  Airlines can charge change fees for changes to an issued ticket.  Talk to your agent for further information on what fees may apply to your tickets.

 

Changes: Once a deposit has been received, a $30.00 per-booking change fee will apply. Other fees are at the discretion of the hotels, tour operators, rental car agencies and other Service Providers.

 

Cancellations:

Cancellation penalties may vary depending on the products booked. 

  • Customer cancellation before the full payment due date will incur loss of the non-refundable deposit

as specified above.

  • Customer cancellation on or after the full payment due date, but more than 7 days prior to departure,

will incur a penalty equal to 50% of the total booking cost.

  • Customer cancellation within 7 days prior to departure is non-refundable. 

  • Insurance purchases are NON-REFUNDABLE.

  • Minimum cancellation fees that will be applied are US$300 per person (your non-refundable deposit.

 

Airfares **Important**: Airfares are subject to special fare conditions and penalties may apply for cancellation or amendments. Air-passes & Domestic Tickets in Australia, New Zealand and the South Pacific are subject to currency fluctuations and the fare quoted is not guaranteed until paid for in full. CURRENCY FLUCTUATIONS DO HAPPEN OFTEN AND IT IS RECOMMENDED YOU PURCHASE YOUR AIRLINE TICKETS TO AVOID THESE PRICE FLUCTUATIONS. Please note that Downunder Journeys cannot be held responsible for any costs incurred by any airline delays. Downunder Journeys is here to help you in any way with changes to your Airline Tickets. Once your airfare has been issued, change fees will be charged by all Airlines. The change fees can be for a date change, routing change, extension of travel period etc. The change fees are different with each airline and you can contact the airline directly for these fees or you can contact us and we can advise you. If Downunder Journeys does the change for you then we will charge a flat service fee of $50 in addition to the Airlines Charges.  All Airline Tickets once issued are non-refundable (if you cannot travel you can use the value towards the purchase of a new ticket, a change fee will be charged). There are some circumstances where tickets are totally non-refundable or not permitted towards future travel.  Airlines reserve the right to change their schedule so it is highly recommended you reconfirm all onward flights and check-in to obtain boarding passes for onward travel.  Post Covid travel the airlines have mandated that your phone number and email address is in your booking so they can contact you directly for any schedule 


Final Payment & Documentation: Final Payment will be due 2 months prior to travel.  Once payment has been received your documents will be issued and sent to you approximately 3 weeks prior to your departure. We expect you to check over your documentation carefully and call us with any queries you may have.  All documents are sent so they can be tracked. A fee will be added automatically to your invoice unless you are local and will come in to collect your documents.
 

Insurance: All passengers are STRONGLY URGED to take out adequate insurance coverage to protect themselves against cancellation due to illness prior to or during travel. Downunder Journeys uses Allianz and Travel Guard for all travel insurance. In the event a traveler becomes ill during a tour, all hospital and medical expenses are the traveler’s responsibility, and they shall not be entitled to any refund, either total or partial, of passage money paid. Check with your agent as to what conditions and charges apply if you cancel your flight and, or land reservations.  Further information can be found by visiting www.allianztravelinsurance.com or www.travelguard.com. Travel Insurance should be purchased at deposit time to ensure you are covered for trip cancellation. If you have any pre-existing condition you will not be covered unless you pay your deposit and insurance at the same time.

Prices: Downunder Journeys quotes prices in US currency based on the exchange rates for the respective foreign currency, usually Australian or New Zealand dollars, as of the date of the quote. Exchange rates fluctuate. Customer’s exchange rate is only fixed when full payment is made, unless otherwise noted on Customer’s itinerary. Any price that Downunder Journeys quotes is subject to change without notice until full payment is made, unless guaranteed in writing with a specific expiration date.

 

Children: Be aware that some travel products do not allow children below a certain age. If Customer plans to travel with children, Customer must notify Downunder Journeys when booking.

 

Names/Passports/Visas: Please ensure the names printed on your quotation are exactly as they are printed in your passport. The airlines will not permit a passenger to board with a ticket that does not match the passport EXACTLY (First and Last Name Only). A passport is required for travel to Australia, New Zealand, Tahiti, Cook Islands, Fiji and any of the South Pacific Islands. Visas are also required to enter certain countries.  If you are traveling on anything other than a US Passport it is essential, you advise your consultant of this.  If you fail to check that names are spelt correctly and tickets are issued with an incorrect name, it will be at your expense to have these tickets reissued.  Your Australian Visa can be done by your travel agent, just provide her/him with a copy of your passport and this will be processed for you complimentary.

Frequent Flyer Points: Your frequent flyer number is entered into your booking at the time you give this information to your consultant. You will need your boarding passes as proof of travel should you need to claim points not showing on your account. You are responsible for checking to see if your will earn points on your frequent flyer membership. Frequent Flyer points are not earned on every fare type.  You can ask your consultant what booking class your flights have been made in and cross reference this information with your frequent flyer program guidelines.  Downunder Journeys is not responsible for missing points due to ineligible booking classes. It is impossible for us to keep track of the airlines rules and regulations for frequent flyer points. 

Limitation of Liability: Downunder Journeys shall not be liable for any claims, losses, damages, costs, expenses, delays, sickness, injury, or loss of enjoyment, of any nature or kind whatsoever, resulting from events beyond Downunder Journeys’ or a Service Provider’s reasonable control. In no event will Downunder Journeys’ liability exceed the total amounts Customer paid Downunder Journeys for Customer’s travel. Downunder Journeys assumes no responsibility for lost tickets, documents, passes, or coupons.


Relationship of the Parties: Downunder Journeys shall be deemed to be an independent contractor for all purposes under these Terms & Conditions. Downunder Journeys is acting solely to facilitate the reservation and purchase of Travel Related Services and is not acting in any other capacity with either the Customers or the Service Providers, including, but not limited to, any partnership, joint venture, co-ownership, or agency relationship of any kind with any Customer or Service Provider. Downunder Journeys does not have any control over the quality, timing, safety or legality of any Travel Related Service actually reserved or purchased by or for a Customer. Downunder Journeys does not and cannot control whether or not a Service Provider represents its products accurately or fulfills any agreement or obligation with any Customer.


Disputes & Indemnity: As Downunder Journeys is not involved in providing the Travel Related Services for the Customer, any and all disputes between a Customer and Service Provider are solely between that Customer and that Service Provider, and the Customer and Service Provider should handle all such disputes directly with that Customer or Service Provider. If Service Provider or Customer contacts Downunder Journeys relating to any dispute between the Customer or Service Provider, Downunder Journeys may, in its sole discretion, facilitate dispute resolution and reserves the right to take any action that Downunder Journeys deems appropriate under the circumstances. Customer agrees to release Downunder Journeys and its agents and employees from claims, demands and damages (actual and consequential) of every kind and nature, known and unknown, suspected and unsuspected, disclosed and undisclosed, arising out of or in any way connected with such disputes. Furthermore, Customer agrees to indemnify, defend and hold harmless Downunder Journeys from any liability, loss, claim and expense, including reasonable attorney’s fees, arising out of or in any way connected with such disputes.


Validity: These Terms & Conditions are valid until further notice in writing from Downunder Journeys.
